Survey Process

Registration should include information on the person who will serve as the Survey Administrator for your survey. The Survey Administrator will be your organization's representative to monitor the survey process and will act as a liaison with the Best Tech Workplaces team regarding questions from your employees. We recommend that you obtain the commitment and involvement of your senior leadership before registering.

After registering and paying for the survey, you will receive an email instructing you to configure your survey. To do so, log into your organization's administrative page with your email and the password you set-up during registration. Your administrative page can be accessed from the "Login" link on our homepage. Once logged in, click on the link "Survey Configuration" and complete two tasks:
- List your organization's departments (up to 30).You may list any department or division within your organization that would be easily recognizable by your employees and that would provide you the most value in evaluating your employees' responses. Generally, listing departments or divisions consistent with your organizational structure is of the most value.
- This list is especially valuable for organizations with above 50 full time employees. Each division must have at least 5 respondents for the results to be reported in the department breakdowns therefore we ask that your department breakdowns have at least 7 staff. This is to protect the anonymity of your employees' responses.
- List up to five customized questions for your organization (optional). Customized question results will be included in your reports but will not be compared to any benchmark.

Before the start date of the survey, it is best to discuss the project with your executive team and inform your employees about the upcoming survey. We suggest beginning with a public announcement from your CEO or President. In addition, you will receive an email shortly before the start date providing instructions to begin the survey and a letter to send to all employees. The letter will include a link to the web site for the survey and an access code unique to your organization.
Encourage all employees to complete the survey. In addition to your public announcement to kick-off your survey, it is a good idea to provide some incentive for completing the survey. Showing the surveys completed by department may spur people on to complete the survey as well. We recommend that you do not require completion by everyone. Such action may turn this into a negative task and affect your results.

The organization profile can be accessed from your administrative page and should be completed concurrently with the employee survey. The form is designed so that you do not have to complete the entire profile in one session, but you can save it and continue later if needed. The Organization Profile gathers information on policies, procedures, benefits, mission, vision and financial results at your organization. Although most of the profile can be completed by a senior HR person, information from other parts of the organization may be required. This profile should take 30 to 45 minutes to fill out, plus time to research answers to the questions.
Monitor participation and progress of the survey by logging in to your Administrative page where you will find daily updates on the number of surveys completed. If you configured your survey with departments or divisions, you will also be able to monitor the progress of each division. In addition, weekly updates will be sent to the heads of each department to help them gauge the level of participation in their department.

After survey completion you will be notified when your reports are ready to download. Log into your Administration page and click on the "Reporting Center" link to download reports.

After you have reviewed the results, we recommend you make the Overall Summary, the list of Top 10 and the list of Bottom 10 pages available to all employees.
Encourage Innovation
Ask your people for ideas on how to further strengthen your Top 10 because you always want to focus on continuing to be the best in the areas of your strengths. Also ask for ideas on processes to eliminate the Bottom 10 forever.
Implement an Action Plan
Share your draft action plan(s) with your employees. It is best to include employees as much as possible in developing action plans for improvement. Contact us if you need assistance on how best to involve employees.
